Finance and Operations Manager

Voicify is looking for an experienced Finance and Operations Manager to join our fast-growing team. The right candidate will serve as the connecting fabric across our founders, our leaders, and the wider team. We are moving at enormous speed and for us to maintain our trajectory, our comms and decision frameworks must evolve. While the CEO continues to seek the next source of transformational growth, the Finance and Operations Manager will operate as the catalyst across the leadership team to ensure today’s priorities progress uninterrupted.

The Finance and Operations Manager is a process architect who moves at incredible pace while earning broad organizational buy-in to enhance operations to keep pace with the company’s extraordinary revenue and user growth. Responsibilities

Finance

Provide comprehensive financial and accounting oversight.

  • Spearhead the annual planning process, budget creation, and explain the assumptions built in the budget.
  • Connect the strategy to the numbers. Able to tell the story and explain the logic behind the numbers.
  • Communicate and present critical financial matters to various audiences.
  • Provide comprehensive financial and accounting oversight
  • Collaborate with CEO to guide investor and key board communications – project management of the board package and investor updates
  • Payroll administration and management
    • Manage bi-monthly payroll
    • Commissions
    • Tax/withholdings administration
    • New employee onboarding, W4, follow up, etc.
  • Invoices
    • Signed contract & filed/organized
    • New customer setup
    • Work with partners to get payment information
    • AR follow up and communications
  • Bill payment
    • Manage bills and pay through bill.com
    • Weekly review
    • Follow-up with vendors
    • Follow-up on 1099 and other vendor paperwork
  • Forecasting & actuals
    • Forecasting & planning
    • Closing quarterly for investor updates
    • Manage revenue recognition & deferred revenue & cash/accruals.
  • Employee expense management
    • Manage Expensify & sync management
    • Issue corp debit card
  • Employed and company equity capitalization table management
    • Maintain Cap table on Carta
    • Upload equity management and coordinate legal
  • Bookkeeping
    • Maintain relationship with existing bookkeeping service.
    • Review monthly closing procedure for accuracy.

HR & onboarding

Provide strategic leadership in Human Resources, including recruitment, onboarding, orientation, training, and termination.

    • Recruiting and onboarding: Creating offer letter & assignments, non-compete & non-solicit, I-9 forms, etc.
    • Benefits administration: Confirming election of benefits, answer employee questions, change of benefits administration, etc.
    • Work with IT to order laptops and other equipment for new employees

 Office management

Manage associate level team member who oversees the following: Office supplies purchases, cleaning management, guest management, access key management, shipping & receiving, etc.

Qualifications

  • An undergraduate degree in Business, Finance, or Accounting is required; an MBA or CPA is strongly desired
  • An ideal candidate will possess excellent academic credentials and a strong aptitude in financial analysis
  • Experience in the SaaS/Software industry is desired
  • Minimum of 7+ years of progressively responsible business experience
  • Strong knowledge of QuickBooks, Excel (i.e., financial models and analysis), BI reporting tools, and PowerPoint is preferred
  • At least one prior experience at a rapid growth startup with a minimum of 100 people
  • Demonstrable experience leading a complex multi-functional project from start to finish
  • Demonstrable experience operating with (if not leading) a structured management goal setting process

Location: 175 Portland Street, Boston, MA 02114. Currently office staff is working a hybrid schedule until the end of February 2022, and we will reassess again at that time.
